INTRODUCTION

Aerocone Travels Canada Inc. ("Aerocone", "we", "our" or "us") respects the privacy, confidentiality and security of personal information entrusted to us by customers, prospective travellers, website visitors, business partners, suppliers and other individuals. Travel planning can require information such as contact details, travel preferences, identification and passport details, payment records and information needed to coordinate services. This Privacy Policy explains how we collect, use, store, disclose, protect and otherwise process personal information when you visit aerocone.ca, create an account, submit an enquiry, request a quotation, register for a tour, make a booking or communicate with us. We handle personal information for identified and reasonable purposes and in accordance with applicable privacy legislation. Where consent is required, we will seek it through an appropriate affirmative action or separate consent process.

02

ABOUT AEROCONE AND SCOPE

Aerocone Travels Canada Inc. is a Canadian travel and tourism company providing travel planning, destination experiences, tourism packages, sightseeing programmes, group travel coordination, accommodation arrangements, transportation coordination and related consulting services. This Policy applies to information collected through our website, online forms, customer accounts, booking and enquiry processes, email, telephone, marketing campaigns, partner interactions and other channels operated by or on behalf of Aerocone. It does not automatically govern independent third-party websites or suppliers that operate under their own privacy policies.

03

PERSONAL INFORMATION WE COLLECT

Depending on your relationship with us and the service requested, we may collect identity and contact information (such as your name, email address, telephone number, address, date of birth where necessary, country of residence and emergency contact); travel and booking information (such as destinations, dates, passenger details, itinerary, accommodation and transport preferences, booking references, special requests and cancellation history); travel-document information (such as passport details, nationality, country of issue, visa or travel-authorisation information where necessary); transaction information (such as payment amount, currency, transaction reference, payment status, billing details, refunds and chargebacks); account information (such as username, account identifier, protected password credentials, verification status and login-security records); technical information (such as IP address, browser, device, operating system, pages visited, timestamps, referring website and diagnostic logs); and communications, feedback, complaints and customer-support records.

04

SENSITIVE OR SPECIAL INFORMATION

Certain travel-related information, including accessibility requirements or health-related information voluntarily supplied to facilitate a trip, may be sensitive. We seek to limit collection and use of such information to what is reasonably necessary for the service and obtain additional consent where required by law. Do not provide information about another individual unless you are authorised to do so. Do not submit passport copies, identity documents or other sensitive records through ordinary contact forms unless the relevant process expressly requests them and provides appropriate safeguards.

05

HOW WE COLLECT INFORMATION

We collect information directly when you complete a form, create an account, request a quotation, make a booking, register for a tour, subscribe to communications, contact our team or provide documents needed for a service. Where permitted and necessary, we may also receive information from airlines, hotels, travel suppliers, payment providers, booking platforms, authorised representatives, business partners and public or lawful sources. Our website may automatically collect technical and usage information through server logs, cookies, analytics and similar technologies.

06

WHY WE USE PERSONAL INFORMATION

We use personal information to prepare travel proposals and quotations; design itineraries; coordinate accommodation, transportation, tours and attractions; process reservations and booking changes; communicate confirmations and travel updates; administer customer accounts and authentication; verify email addresses; process and reconcile payments; issue invoices and receipts; manage refunds and payment disputes; respond to enquiries and complaints; send permitted marketing communications; prevent fraud and protect our systems; comply with legal, tax, accounting and regulatory obligations; investigate misuse; and improve our website, services and customer experience.

07

GOOGLE SIGN-IN AND AUTHENTICATION

If you choose Google Sign-In or another supported authentication service, we may receive information authorised through that service, such as your name, email address, profile image, authentication identifier and email-verification status. We use this information to authenticate you and create or associate your Aerocone account. Standard Google Sign-In does not give Aerocone your Google account password. Basic sign-in does not require access to Gmail messages, Google Drive files or Google Calendar. Your use of the authentication provider is also subject to its own privacy terms.

08

COOKIES AND SIMILAR TECHNOLOGIES

Our website may use essential cookies for login sessions, security and core functionality; functional cookies to remember preferences; analytics technologies to understand traffic and performance; and marketing technologies where implemented and legally permitted. You may manage cookies through browser settings and any preference tool we make available. Disabling essential cookies may affect account login, forms or booking functionality.

09

DISCLOSURE AND SHARING

Aerocone does not sell personal information as a commercial data product. We may share relevant information with travel suppliers (including airlines, hotels, transport operators, guides, attractions and destination operators) to deliver a requested service; payment processors and financial institutions to process transactions and prevent fraud; hosting, cloud, email, authentication, analytics, security and customer-support providers that assist our operations; professional advisers such as lawyers, accountants and auditors; public authorities where disclosure is required or authorised by law; and parties to a corporate transaction where appropriate safeguards and legal requirements apply. We may also disclose information with your consent. We aim to share only information reasonably necessary for the relevant purpose.

10

INTERNATIONAL TRANSFERS

Because our customers, suppliers and technology providers may operate in different countries, personal information may be processed or stored outside your province or country of residence. Privacy laws in those locations may differ. Where required, we take reasonable contractual, organisational or other safeguards for international transfers. Information provided directly to an overseas airline, hotel or other supplier may be subject to the laws of the country where that supplier operates.

11

RETENTION

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet legal, accounting, contractual, dispute-resolution and security requirements. Booking and transaction records may need to be retained for statutory periods. Account information may be retained while an account is active and for a reasonable period afterwards. Travel documents are retained only as long as necessary for the relevant service and applicable obligations. When information is no longer required, we take reasonable steps to securely delete, destroy or anonymise it, subject to lawful retention requirements.

12

SECURITY

We use reasonable administrative, technical and organisational safeguards designed to protect personal information against loss, theft, unauthorised access, disclosure, alteration and misuse. Depending on the system, safeguards may include access controls, authentication, password protection, encryption in transit where supported, restricted administrative access, secure hosting practices, monitoring, software updates, backups and confidentiality obligations. No online transmission or storage system can be guaranteed completely secure.

13

PRIVACY BREACHES

If a privacy breach occurs, we assess and respond in accordance with applicable law. Where statutory thresholds are met, we will notify the relevant privacy regulator and affected individuals within the required timeframe. Our response may include investigation, containment, mitigation, corrective measures and notifications.

14

YOUR PRIVACY RIGHTS

Subject to applicable law, you may request access to personal information we hold about you, request correction of inaccurate or incomplete information, withdraw consent where processing is based on consent, ask how information is used or disclosed, object to certain processing where a right exists, request deletion where legally available, opt out of marketing and raise concerns about our handling of personal information. Some requests may be limited by legal, contractual, security or other lawful exceptions. We may need to verify your identity before responding.

15

CHILDREN AND MINORS

Our website is not intended to allow children to independently enter into contracts where they lack legal capacity. A parent, guardian or authorised adult should make arrangements and provide information on behalf of a minor. Information about a child will be collected through an appropriate adult or authorised representative where possible and used only for relevant purposes.

16

THIRD-PARTY WEBSITES AND SERVICES

Our website may link to external websites, social platforms, payment pages, airlines, hotels and other services. Those services operate independently and may have their own privacy policies and practices. Aerocone is not responsible for the independent privacy practices of third-party websites we do not control. Review their policies before submitting information.

17

MARKETING PREFERENCES

Where permitted by law and where any required consent has been obtained, we may send travel offers, tour announcements, destination information, newsletters and relevant promotions. You may unsubscribe through the link in a marketing email or contact us. Unsubscribing from marketing does not prevent essential transactional, booking, payment, security or service messages.

18

APPLICABLE PRIVACY LAWS

We aim to handle personal information in accordance with applicable privacy legislation, which may include Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), applicable provincial private-sector privacy legislation and relevant privacy and data-protection laws in other jurisdictions. The law that applies depends on the activity, information, location and legal framework. This Policy does not limit mandatory privacy rights.

19

CHANGES TO THIS POLICY

We may update this Policy to reflect changes in our business, technology, services, legal obligations or privacy practices. The revised version will be published on this page with an updated effective or last-updated date. Where material changes require notice or consent, we will take reasonable steps to provide it.
